The Records Supervisor is expected to oversee the office's Records staff. Provide support, leadership, and direction for the staff in line with the policies and procedures developed and approved by the firm and the IS/Records group. Work on special projects related to records management, as necessary. Be prepared to manage all department functions firm-wide in absence of Records Manager.
The candidate must be able to supervise and direct staff to adhere to daily work schedule, and maintain department attendance and time sheet records, approving any required overtime. Candidate must also complete performance evaluations including holding review meetings and working on merit increase recommendations with Records Manager, provide guidance to lawyers and general staff in the development, implementation, and maintenance of procedures dealing with records management, including retention and destruction guidelines, and assist the Records Manager and Director with development of policies and procedures and also assist with the rollout of staff training and development programs.
This position reports to the Records Manager.

Contract records management role at a major BioTech in Boston area.

Our client has an immediate opening for someone to implement an infrastructure against an existing retention schedule.  The role requires an RM pro, ideally from BioTech/Pharma, to answer questions such as, “I just received a box of materials from a merger/an employee who left the company/a completed project; what are the procedures for keeping, destroying, and managing the materials?”  This is a 6 month contract that could become permanent (but there is neither guarantee nor pressure on the candidate to do so).

In the highly critical and visible, Compliance Director, Enterprise Records and Information Management role, you will:

  • Translate business strategy to achievable, well defined objectives
  • Be accountable for the administration and results of the Enterprise Records and Information Management Compliance Platform
  • Lead the design and development of global processes, tools, and standards
  • Initiate new or revised procedures, programs and initiatives
  • Influence and/or develop broad programs and initiatives

  • Familiarity with establishing and utilizing technology to fulfil e-discovery and records information management tasks
  • Ability to interact and build relationships at all levels and across organizational boundaries
  • Demonstrated ability to set organizational direction and implement change
  • Demonstrated experience and knowledge of continuous improvement methodologies
  • Proficiency in anticipating and resolving problems
  • Knowledge of GxP
  • Proficiency in records management systems including retention schedules and record lifecycle management
  • Knowledge of FDA, EMEA, and other international regulations for GxP records
  • Skilled in building relationships and communications

Basic Qualifications:

  • Bachelors with 10+ years of work experience in a regulated environment
  • Prior experience in business records management, preferably in the pharmaceutical industry
  • Experience managing technology spend and prioritization
  • 8+ years experience developing and managing direct reports
  • 7+ years experience working in an international, matrix organization
  • Experience leading during time of change

Preferred Qualifications

  • Advanced degree
  • Certified Records Management (or equivalent)
  • Previous experience in management of projects of moderate to high complexity
  • Experience with databases and reporting tools
